Replace “someone” with a name

A wedding checklist can look complete while still leaving one important question unanswered: who is actually doing each task? At Stone Ridge Estates in Pasco, we encourage couples to think through the small handoffs alongside the bigger timeline.

Ask the person first. Give them one clear responsibility, the location of anything they need, and the time it should happen. Avoid making one dependable friend responsible for everything.

The rings

Choose a trusted adult to keep the rings secure and confirm the handoff with your officiant. If a child participates in the ceremony, decide in advance whether they will carry the real rings or a symbolic item. The adults should know the plan without needing to discuss it halfway down the aisle.

The bustle or clothing adjustment

If your outfit needs bustling, fastening or another change before the reception, practice with the person who will help. A quick demonstration on wedding day may not be enough. Ask the alterations professional for instructions and take a short video if they permit it.

Give yourselves a sensible place and time for the adjustment. Do not assume it will happen instantly between two scheduled activities.

The cake tools

Confirm who supplies the cake knife, server, plates and forks, and who puts them in place. Check this with the caterer, baker or coordinator rather than assuming a particular vendor provides everything. Tell the DJ or person making announcements when you are ready.

Keep the list short and share it

A useful handoff list has four columns: task, person, location and time. Send each helper the part they need. Include a contact for questions so the couple does not become the default information desk.

When comparing Tri-Cities wedding venues, ask which responsibilities belong to the venue, which belong to vendors, and which stay with you. Clear answers are more useful than guessing from a photograph.
